Job Type: Full-time; On-site
Responsibilities:
- Manage maintenance and preventive maintenance schedules for approximately 30 power units, trailers, chassis, and related equipment.
- Coordinate repairs, roadside breakdowns, inspections, tires, parts, and outside maintenance vendors.
- Maintain accurate fleet maintenance and equipment records in Fleetio.
- Maintain complete and compliant Driver Qualification Files (DQFs) for 30+ drivers.
- Manage driver compliance documentation through Tenstreet, including CDL licenses, medical cards, MVRs, Clearinghouse requirements, annual reviews, and other required records.
- Track expiration dates and proactively address missing or expiring driver and equipment documentation.
- Track and manage driver tickets, citations, roadside inspections, violations, and corrective actions.
- Monitor DOT/FMCSA compliance, annual inspections, registrations, IRP, IFTA, ELD requirements, and permits.
- Monitor driver safety and fleet activity through Samsara and other telematics systems.
- Review DVIRs and driver-reported equipment defects and ensure required repairs are completed.
- Assist with accident and incident documentation, insurance claims, and follow-up.
- Manage maintenance vendors, review repair estimates and invoices, and monitor fleet-related costs.
- Coordinate with Dispatch regarding equipment availability and place unsafe or non-compliant equipment/drivers out of service when necessary.
- Provide management with regular reporting on maintenance, fleet uptime, driver compliance, violations, inspections, and upcoming expirations.
- Audit Fuel Bills vs. Consumption.
- Audit EZ Pass expenses.
- 3-5+ years of fleet management, equipment management, DOT compliance, or transportation safety experience.
- Strong working knowledge of DOT/FMCSA regulations and Driver Qualification File requirements.
- Experience managing commercial truck maintenance and preventive maintenance programs.
- Experience with driver compliance, MVRs, medical cards, Clearinghouse, roadside inspections, and violations.
- Experience with Fleetio and Tenstreet strongly preferred.
- Experience with Samsara or similar ELD/telematics systems preferred.
- Strong organizational, recordkeeping, and follow-up skills.
- Comfortable working directly with drivers, dispatchers, repair shops, vendors, and management.
- Ability to handle multiple priorities and urgent fleet issues in a fast-paced trucking environment.
- Must be able to work on-site in Elizabeth, NJ.
- Daily start time at 5 am.
- Availability for occasional after-hours fleet emergencies.
