Responsibilities:
- Contact new accounts and develop business leads.
- Build and maintain relationships with existing customers and identify opportunities for business expansion.
- Locate and contact vendors to meet customer requirements, conduct vendor due diligence, confirm, analyze & determine vendor quotes appropriate to the customer.
- Prepare and/or check quotations to customers.
- Prepare and/or check meeting materials as required.
- Ability to perform staff operations, when necessary, i.e. peak periods, PTO, etc. including quotations.
- Develop SOP's, implement, communicate, monitor, and adjust.
- Identify root cause for operational issues and develop countermeasures.
- Report and/or escalate the problem to the appropriate party in a time-sensitive manner.
- Identify and analyze the cause of the problem and consider
countermeasures. - Develop and/or update company guidelines, implement, communicate & manage.
- Legal oversight for employee management and company issues.
- Develop and/or update compliance guidelines, implement,
communicate & manage. - Arrange or lead required internal compliance training (usually at least once a year).
- Monitor and manage company staff work hours.
- Lead with Payroll vendor including reporting, PTO tracking, etc.
- Lead and organize programs to enhance company staffs’ skill sets and career growth (business construction, operational process development, etc.)
- Monitor, education and evaluate employee performance to align with company goals.
- Attend HR training programs when required.
- Update job descriptions for open positions and contact designated recruitment company.
- Responsible for selecting, interviewing, and evaluating candidates.
- Prepare and explain new employee documents and manuals during onboarding process.
- Monitor and manage office supplies, equipment, and facility
maintenance. - Purchase of office supplies as required.
- Update company asset list as necessary.
- Confirm pay period processing, payment and problem resolution.
- 401K: Report updates to system including, testing, compliance, etc.
- Manage Company license applications & renewals.
- Insurance coverage review and approval; GL/WC/D&O/Crime/Etc.
- Maintenance of company records retention, disposal and
documentation. - Manage MUFG web banking account (including
admin/compliance/internal rules/processes/training). - Oversee daily banking operations including ACH, wires, account balances, and fraud alerts, while serving as the primary liaison for tax matters and coordinating with financial institutions and external
partners as needed. - Review vendor invoices as required.
- Manage IT vendor: Cloud servers, databases, software, etc.
- Communicate with IT vendors for down time prevention.
- Coordinate with MIBS NY on security items, testing, incident response.
- Support various reports that the President requires to submit to the head office.
- Attend meetings and develop meeting minutes when necessary. Due to the time-zone difference with Japan, many times meetings start at 18:00 or 19:00.
Experience:
- Must have at least 3 years of experience in OTI activities within the US.
- It is required to have not only experience in customer service and operations, but also a detailed understanding of the process to obtain/negotiate ocean carrier rates and documentation process that supports international shipments to/from the US.
- Evaluate applicants based on legal history, regulatory compliance, and financial responsibility to ensure adherence to industry standards and requirements.
