Job Type: Full-time; On-site
Responsibilities:
- Supervise, direct, and support staff while ensuring alignment with corporate standards and operational goals.
- Develop, update, and communicate standard operating procedures in accordance with company requirements.
- Oversee performance management, including reviews, coaching, and salary evaluations.
- Manage scheduling and attendance to maintain adequate coverage and operational efficiency.
- Lead staffing decisions, including hiring and terminations, in collaboration with the Branch Manager and Senior Management, while fostering employee development through training and growth opportunities.
- Reviews data summary reports, unprocessed entries, unbilled entries, PNB/BNP and other reports on a daily basis, and regulates workflow and overtime to ensure all entries are completed on time plus quality control.
- Attends meetings with other department managers on a regular basis to review overall progress and to gauge efficiency of procedures; manages follow up with appropriate adjustments.
- Reviews operational targets to ensure that progress is made in regards
to goals communicated by the corporate strategic plan and budgets. - Responds to client inquires; review service issues and find solutions.
This individual may act as the main client service representative for
certain accounts. He/she will meet with clients and communicate with
their suppliers when necessary. - Develop, monitor and maintain processes and procedures to ensure we are obtaining the highest possible quality of service in release, trade compliance and import reporting. Identify client needs and develop solutions for these needs. Attend management meetings and perform actions identified in these meetings to ensure the company’s goals and policies are met.
- Provide guidance and training to employees on procedures and
complex problems. - Keep abreast of industry changes. Advise staff and clients of relevant
changes. - Assist with rating, trade compliance and release.
- Work with the Sales team in developing marketable product lines as
they relate to brokerage operations. - Work with the Sales team in obtaining and closing new business.
- Work with the Sales team, local management and team to onboard
new business. - Review and initiate the set up of all new brokerage clients to ensure the highest levels of service to the client.
- Monitor all post entry matters.
- Manage vendor payment approval process as it relates to brokerage
operations to ensure accuracy and accountability. - Manage local branch check processing and record keeping as may be
directed by the Branch Manager and in accordance with company policies and procedures. - Staff the department operation as volume increase/decrease and
expand and/or contract accordance with the company’s hiring policies and practices. - Review systems within the brokerage department to ensure maximum
efficiency. - Develop, along with the Branch Manager, suggestions for systems
enhancements. - Maintain good office morale and employee motivation.
- Enforce company policies and procedures.
- Manage the processing of daily ACH statements in accordance with
company policies and procedures and CBP regulations. - Manage department imaging processes and procedures.
- Any other duties as assigned by management.
- High School diploma or related experience is needed
- Post-secondary education in business, international trade or related fields preferred
- Customs Brokers License and Certified Customs Specialist in good standing
- Minimum of 8 years’ experience in the transportation, customs or related fields is required
- At least 3 years management/supervisory experience
- Sound problem solving abilities
- Work well under time sensitive situations
- Diplomatic and possess good communication and interpersonal skills to deal with high levels of public interaction
- Strong organizational skills
- Customer service orientated/professional attitude and approach
- Ability to work under pressure
- Excellent written and verbal communication skills
- Experience with computer applications including Microsoft Word, Excel, Power Point
