Responsibilities:
- Support the logistics team in coordinating export shipments from purchase confirmation through document release.
- Assist with tracking production and readiness updates from third-party processing facilities.
- Help monitor supplier schedules to ensure alignment with Last Receiving Dates (LRDs), vessel cut-offs, and booking requirements.
- Work with freight forwarders and carriers to request bookings, confirm schedules, and track container assignments.
- Follow-up on logistics milestones such as inland trucking, container loading, inspections, vessel departure, and courier release of export documents.
- Act as a communication liaison between internal trading, operations, and finance teams.
- Communicate with suppliers, processors, freight forwarders, and inspection agencies to confirm timeline and requirements.
- Assist in resolving basic shipment expectations or delays, escalating issues to management when needed.
- Maintain accurate and timely updates in internal systems.
- Support the preparation and verification of commercial, transport, and compliance documents, including invoices, packing lists, bills of lading, certificates of origin, phytosanitary certificates and inspection certificates.
- Ensure documentation is complete, accurate, and aligned with contractual and banking requirements.
- Assist with submitting documents to banks & clients as directed.
Experience:
- Integrity.
- Strong computer skills, including Microsoft Office (Excel, Outlook).
- Data entry with a high level of detail & accuracy.
- Strong prioritization & organizational abilities.
- Clear and professional interpersonal communication skills.
- Ability to work independently and collaboratively within a team.
- Basic understanding of international logistics concepts, or willingness to learn quickly.
- Prior experience in logistics, operations, shipping, or related administrative work.
- Familiarity with export logistics, freight forwarding and container shipping.
- Knowledge of export documentation or Incoterms terminology.
